Full digital transformation across 80+ schools

Challenge

The consortium federates 80+ independent driving schools across Belgium and Luxembourg. Each school used its own combination of paper agendas, Excel sheets, and consumer apps to manage students, lesson scheduling, instructor availability, regulatory exam prep, and invoicing. Compliance reporting to national authorities was ad-hoc and frequently late. Schools wanted a shared platform but were unwilling to expose their data to each other.

Approach

Designed a multi-tenant platform with strict per-school data isolation by default, opt-in shared services for the consortium-level needs (instructor pooling, exam preparation content, group purchasing). Built core modules for student management, scheduling, instructor app, vehicle tracking, parental portal, regulatory reporting. Mobile-first for instructors who spend their day in the car. Launched in waves of 8-10 schools with onsite training.

Outcomes

  • All 80+ schools migrated within 14 months
  • Regulatory reporting now automated, on-time, and audit-clean
  • Average school admin time reduced ~35%
  • First instance of cross-school instructor pooling, cutting student waitlists during peak season
